Contractor Performance Scorecard
Score a running cleaning, security or maintenance contract on eight weighted criteria, get a verdict band, and compare up to three contractors side by side.
Pick the service, name up to three contractors, agree the weights, then score each criterion from 1 to 5 against the records you hold for the period. The verdict shows on this page as soon as every contractor has a score for every criterion.
How it works
Each criterion has a weight, and the weights add up to 100. A 5 earns the full weight, a 1 earns nothing, and each step in between earns a quarter of the weight.
Each criterion earns its weight × (score - 1) ÷ 4 points. The points are added up and rounded to the nearest whole number.
With weights adding up to 100, every criterion at 5 gives 100, and every criterion at 1 gives 0. Any criterion scored 1 is a red flag.
The 1 to 5 scale
| Score | Label | Definition |
|---|---|---|
| 5 | Met in full | Met every time this period, with evidence for each instance. |
| 4 | Met, minor lapses | Met, with minor lapses that the contractor put right without being chased. |
| 3 | Mostly met | Met most of the time. Some lapses were put right after one reminder. |
| 2 | Often missed | Repeated lapses, or met only after repeated chasing. |
| 1 | Not met or no evidence | Not met, or there is no record to show it was met. |
Verdict bands
| Band | Score | Meaning |
|---|---|---|
| Strong | 85 to 100 | Performing to the contract. Share the result with the contractor and keep the evidence on file. |
| Acceptable | 70 to 84 | Broadly performing. Agree actions with owners and dates for the lowest-scoring criteria. |
| Needs improvement | 50 to 69 | Agree a written improvement plan with dates, and review it next period. |
| Failing | 0 to 49 | Check what the contract says about remedies with your adviser, and prepare for re-tender at contract end. |
Cap rule
If a red-flag criterion has a weight of 15 or more, the band is capped at "Needs improvement", even when the score is higher. The result says which criterion caused the cap.
These bands and the cap are rules of this scorecard, not industry benchmarks.
Comparing contractors
All contractors use the same weights. The result table ranks them by score, and equal scores show "Tied". Compare contractors scored for the same period and the same type of service.
Questions
How is the score calculated?
Each criterion gets a weight, and the weights add up to 100. Each criterion is scored from 1 to 5. A 5 earns the full weight, a 1 earns nothing, and the scores in between earn a quarter of the weight per step. The score is the total, out of 100.
What does "no evidence scores 1" mean?
If there is no record that a visit or task happened, such as a job sheet, photo or patrol log, it is scored as not done. That keeps the score tied directly to verified records.
Should I change the weights?
Agree the weights with the contractor before the first score, and keep them for the whole contract period. Changing them after scoring changes the result.
Can I compare contractors who do different work?
Compare contractors scored for the same period and the same type of service. A cleaning score and a security score measure different things.
