Bills, payments & receipts
You are owed money.
Chasing it should not be a full-time job.
Collection software for organisations that bill the people they serve. Raise a batch of bills from a spreadsheet, send them, and let people pay on their phone. Reminders go out on their own. Every payer gets a numbered official receipt they can check for themselves.
The problem
Collection runs on a spreadsheet, a WhatsApp group and a receipt book.
Nobody knows what is owed. The figure in the spreadsheet and the figure in the bank do not agree, and reconciling them is a weekend job nobody wants.
Chasing is personal. One officer sends the reminders, from their own number, and gets the arguments too. When they leave, the arrears go with them.
Receipts are a photograph. A picture of a handwritten book, sent on WhatsApp. Nothing an auditor accepts, and nothing a resident can verify.
How it works
From a spreadsheet to a filed receipt
1
Upload the list once
Your unit list, your amounts, your due date — from the spreadsheet you already keep. Bad rows are shown before anything is sent, not after.
2
Check it, then send it
Nothing goes out until a person confirms the totals. No bill is ever issued automatically, because a bill sent by mistake is a phone call you cannot take back.
3
They pay on their phone
FPX, DuitNow QR or card through your own Billplz, CHIP, Stripe or Airwallex account. Or they transfer and upload the slip, and your officer confirms it — because plenty of people still pay that way.
4
Reminders send themselves
Before the due date, on the day, and after — in the words you chose, from the organisation rather than from a person. They stop the moment the payment arrives.
5
The receipt is issued and numbered
A gap-free official receipt with the amount written out in words. The payer can check it on your own website without trusting the message they were sent.
Why this is not an invoicing app
Four things collection software does not do
🔢
The receipt numbers have no gaps.
Allocated under a lock at the moment payment is recorded, so two payments in the same second cannot take the same number — and an auditor can follow the series straight through.
🛡️
A payer can check the bill is real.
Every bill and receipt carries a reference anyone can verify on your own site, without following the link they were sent. It is the defence against somebody impersonating you to collect.
🤝
It takes the chasing off a person.
Reminders come from the organisation, on a schedule you set, in wording you approved. Nobody has to be the one who asks.
🔧
It sits beside the upkeep it pays for.
Collection and maintenance in one system, so the money coming in and the work going out are the same conversation.
What you get that nobody else offers
What is actually outstanding, and how old is it?
One screen: what is still owed, what has passed its due date, which slips are waiting for someone to confirm, and what came in this month. Because collection and maintenance run in the same system, you can put what you collected next to what you spent. Your money stays yours — Laksana is a system fee, never a share of what you collect.
