Lay out a year of planned maintenance visits, see where the workload piles up, and get a tickable checklist for your building's assets, grouped by how often each check is commonly done.
Add each asset with the interval you have chosen and the month of its next visit. Set each interval from the manufacturer's manual, how hard the asset works and the requirements that apply to your building. Then choose your building type to get a checklist of routine checks.
How it works
The schedule
For each asset, visits fall in the first month you choose and then every N months after it, up to December. The table adds up the visits in each month, so you can see where the year piles up. Shifting a first visit by a month or two spreads the load while every interval stays the same.
The checklist
Starting frequencies come from the checklist. The schedule uses the intervals you set. The checklist's frequencies are common starting points for planning. Check both against the manufacturer's manual, how hard each asset works, and the statutory or authority requirements for your building.
Checks are grouped in this order: Every visit, Daily, Weekly, Monthly, Quarterly, Annual. The seven checks under Every visit apply to every job, whatever the asset types. Change a check's frequency and it moves to that group. Ticks are for the current printout or session only.
Questions
Are these frequencies requirements?
No. Each one is a common starting point for planning. Check it against the manufacturer's manual and any statutory or authority requirements that apply to your building, and change it in the checklist to match.
Why does my building type change the asset list?
Each building type starts with the assets it commonly has. Add or remove any asset type to match your building.
What should happen when a check finds a fault?
Before the visit closes, the fault becomes a repair job with a named owner, a due date and a photo. A fault written only on a checklist tends to stay there.
